Invoice Design

Invoices are the most-read document your company produces. Invoice Design lets you make them yours: your logo, your colors, your labels — including French labels for Quebec customers — with a live preview that shows exactly what the customer receives.

Open it at Settings → Invoice Design.

When should I read this?

  • Invoices go out with default styling and no logo.
  • You operate in Quebec and the document labels should be French.
  • Accounting wants the tax ID and payment instructions on every invoice.

Brand consistency across billing Upload your logo, set the brand color, override the business name/address block.
Bilingual document requirements Change the document title and labels (Subtotal, Tax, Total, Balance Due) — French customers can also inherit French documents via their locale.
Reduce "how do I pay?" emails Keep the payment link enabled and put terms in the footer text.

What you can configure

Area Fields
Branding Logo (direct image URL) and brand color (picker + hex, default indigo #4F46E5).
Labels & localization Document title (default "INVOICE"), and the labels for Subtotal, Tax, Total, and Balance Due.
Company information Business name override (blank = organization name), business address, tax ID label ("VAT, GST, EIN") and value.
Footer Free text with preserved line breaks — payment terms, thank-you note, or legal lines.
Payment link Show or hide the pay online link on the invoice document.

Steps

Set branding

Paste your logo URL and pick the brand color. The preview header updates immediately.

Tune the labels

Rename any label to match your language and register — e.g. title "FACTURE", labels Sous-total / TPS / Total / Solde dû for a French-first operation.

Complete company information

Override the business name if invoices should show a legal entity that differs from the workspace name, add the address, and set your tax ID (label + value, e.g. "GST/HST" + 123456789 RT0001).

Write the footer

Keep it plain text; line breaks are preserved. Common content: payment due window, late-fee note, registration numbers.

Save and verify

Click Save Changes (or Reset to Defaults to start over — this cannot be undone). Then open any real invoice's PDF/HTML and confirm the applied design.

Where the design appears

Saved settings apply to every generated document — the invoice PDF, the browser-friendly HTML version, and the documents customers download from the customer portal. The per-customer document language (see localization) decides the language for date/amount formats and localized content, while your label overrides apply consistently on top.

Common issues

  • Logo doesn't render. The URL must be a direct, publicly reachable image link — not a page containing the image.
  • Design changed but an old invoice looks the same. Documents already issued keep the design they were issued with; regenerate the PDF from the invoice to refresh it.
  • Labels show in the wrong language. Label overrides are global; per-customer language handles dates and standard wording. Plan one set of labels that works everywhere you sell.
